  • Support end-to-end contracting workflows in Malbek (CLM): contract intake checks, document upload, signature routing, and quality control of executed agreements.
  • Support marketing and commercial activity by maintaining guidance on competitions and promotions (ASA/CAP) and coordinating approvals/audit trails; monitor social media competitions for compliance.
  • Support the processing of influencer/HCP consulting agreements and annual pharmacy rebate/promotion contracts, liaising with business owners and Ethics & Compliance.

  • Coordinate annual competition law training and other legal readiness/training activity (including dawn raid readiness), managing logistics, materials and attendance records.
  • Manage the Northern Europe Legal Team’s Microsoft Teams channel and coordinate monthly team meetings, including agendas and action tracking.
  • Provide operational and administrative support (e.g., travel, expenses, CSR volunteering coordination) and support outside counsel engagement/matter administration where required.

What you’ll bring

  • Proven experience in a legal assistant, paralegal, legal operations, or comparable administrative role (in-house or law firm).
  • Strong organisational skills with the ability to manage multiple priorities and peaks in workload, while maintaining attention to detail.
  • Experience supporting contract workflows (e.g., CLM tools, signature routing, document control) and maintaining accurate records.
  • Confidence working with business stakeholders and handling routine queries, with sound judgement on when to escalate.
  • Strong written communication skills, including the ability to maintain clear guidance and templates for business users.
  • Good working knowledge of Microsoft 365 tools (Teams, Outlook, SharePoint).

Desirable

  • Experience with CLM tools (e.g., Malbek) and/or legal matter management and billing tools (e.g., Onit).
  • Familiarity with ASA/CAP guidance on UK competitions and promotions and/or marketing compliance frameworks.
  • Experience supporting corporate governance processes and entity documentation (e.g., board minutes/resolutions).
  • Experience coordinating compliance training and maintaining attendance/completion records.

How you’ll be measured

  • Contracts processed within agreed timelines/SLAs, with accurate records and minimal rework.
  • SharePoint content, templates and signatory information kept current and easy to navigate.
  • Timely, well-controlled support for promotions/competitions, with appropriate escalation and retained audit trails.
  • Governance documentation coordinated and submitted within required timelines.
  • Training and team communications delivered to plan (including monthly team meetings and channel upkeep).

Why join us

You’ll join a collaborative legal team supporting a broad and interesting business agenda across Northern Europe, with opportunities to build capability across contracting, governance, compliance training and legal operations. We offer a supportive environment, professional development, and a role that provides strong visibility across Legal and the wider business.
